Disney World Budgeting Spreadsheet: A Simple Way to Plan Your Vacation
Figuring out how much to set aside for a Disney World vacation can feel intimidating at first, right? You have all sorts of things to account for: resort stays, theme park tickets, dining, transportation, souvenirs, and other expenses you probably don’t even know about!
I’ve found that one of the most effective ways to create a realistic Disney World vacation budget is to put your expenses into a spreadsheet so you can see the numbers all in one place. Once you see where your money is going, it’s easier to track spending, make adjustments, and spot opportunities to save without losing sight of what matters most.
Because the cost of a Disney World vacation can vary so widely from one family to another, we created a simple (and fun) Disney Budgeting Spreadsheet. It gives you one place to organize your estimated expenses, compare options, and build your vacation budget before your trip. It also includes an expense tracker to help you keep track of what you actually spend along the way.

What This Spreadsheet Does
Our Disney Budgeting Spreadsheet brings together the expenses of a Disney World vacation in one place. It gives you a simple way to see how your choices add up and create a budget based on the vacation you have in mind.
Before your trip, use the spreadsheet to work through your estimated expenses, compare options, and set a budget. During your vacation, the built-in expense tracker lets you record your actual spending as you go. You’ll have a quick way to see where you stand without needing to do any math in your head.
This can especially come in handy when you see a new pair of Minnie Ears that you’d really like to have! A glance at your budget spreadsheet on your mobile device will provide a simple yes or no.
What’s Included in the Disney Budgeting Spreadsheet
Our budgeting spreadsheet combines your own vacation information with estimates we’ve researched and built into the tool. Some expenses, such as your resort and theme park tickets, will require you to look up current prices and enter them. For other expenses, we’ve done the heavy lifting. (And you’re gonna love it!)

Accommodations and Tickets
Your resort is often the biggest Disney World vacation expense, so we’ve included a space to compare options.
The spreadsheet has a row for every Disney Resort hotel. You’ll enter dates and the total cost for each resort you’re considering. Then you can compare the options side by side. (Blank spaces are provided for off-site accommodations.)
If you’re purchasing tickets separately instead of a room-and-ticket package option, you’ll find a section to enter theme park ticket costs. Here’s a look inside.
Table Service Dining
This is one of the areas where the spreadsheet can save you considerable time.
We’ve researched the cost of an average entree and beverage for adults and children at every Disney World table service restaurant. All you have to do is enter the number of adults and children in your party, select the restaurants you’re considering, and the spreadsheet calculates an estimated meal cost.
The calculation accounts for tax, tip, and a 10% contingency, giving you a realistic amount to set aside rather than relying on the menu price alone. The spreadsheet comes with an instructional guide that goes into much more detail about how these dining estimates are calculated and how to use them.
Quick Service Dining and Snacks
Quick service dining doesn’t require you to decide where you’ll eat upfront. We’ve provided a general average cost for each meal that should give you a close starting point for your budget.
We’ve also included space for snacks, drinks, refillable mugs, water, and other food expenses that can be easy to overlook. (A few bottled drinks and snacks a day can quickly add up! We urge our spreadsheet users to be realistic when entering how many snacks they’ll likely purchase each day.)
Lightning Lanes
Lightning Lane costs can be difficult to estimate because prices vary. Rather than simply entering a number that seems reasonable, we actually track Lightning Lane prices throughout the year to develop estimates that give you a more informed starting point.
The prices can still change, so these should be treated as estimates. However, they’re based on actual data rather than a random guess.
Souvenirs and Other Extras
Some expenses are too personal to estimate accurately for everyone. Souvenirs, merchandise, special experiences, and other extras will depend on your own vacation and spending habits.
The spreadsheet gives you space to set aside an amount that makes sense for your trip, while keeping these expenses visible as part of your overall budget.
Expense Tracker
Once your vacation begins, you can use the built-in expense tracker to record what you actually spend. This lets you see how your spending compares with the budget you created beforehand and gives you a quick way to see where you stand throughout the trip.
